Exhibitor Information and Application

Please note: The exhibition schedule includes the 2010 Joint International Neurogastroenterology and Motility Meeting, August 26–29, which immediately follows the Clinical Practice Course. The exhibition venue is the same for both meetings.

Exhibitor Information
Exhibiting is an integral part of the American Neurogastroenterology and Motility Society (ANMS) 5th Biennial Course on Gastrointestinal Motility and Neuorgastroenterology in Clinical Practice. This Course immediately precedes the 2010 Joint International Neurogastroenterology and Motility Meeting, August 26 to August 29. ANMS anticipates that companies will wish to exhibit at both the Clinical Practice Course and at NGM 2010. The exhibition space will be the same for both meetings. Exhibiting companies will enjoy prime exposure and direct marketing opportunities with the key players and decision-makers in the field. The floor plan is designed to maximize the exhibitor’s exposure to the course participants.

All breaks will be held in the exhibition area. Particular attention will be given to signage and decoration, enabling an easy and convenient visit of the exhibition.

Exhibiting Fee and Application Deadline
Exhibiting Fee: $5000 USD
Application and full payment deadline: June 17, 2010 Applications for exhibit space are considered on a first-come basis. Given limited space in the exhibit area, it is recommended that your organization submit the completed application form as soon as possible.

Exhibitor Registration
All company representatives must be registered. The exhibiting fee includes two meeting registration fees. Registrations may not be shared. Additional exhibitors will be charged a registration fee of $400. Two exhibitor nametags will be issued. Registration includes all breaks, lunches, reception, and banquet. Exhibition Schedule
Set up: Wednesday, August 25, 2010 – 3:00 pm – 5:00 pm
Break down: after 5:45 pm Thursday, August 26, 2010
Please note: if exhibiting at NGM 2010, break down is Sunday, August 29 beginning at 12:00 pm.

Exhibit Hours
Thursday: 7:00 am – 5:00 pm
Please note: if exhibiting at NGM 2010, exhibit hours are as follows:
Friday and Saturday: 7:30 am – 5:00 pm
Sunday: 7:30 am – 12:00 pm

Space Allocation
Tabletop displays only. One 1-foot x 6-foot skirted table, one trash can, and two chairs will be provided.

Assignment of Space
Space will be assigned as requested wherever possible. We will make every possible effort to assign a preferred location. Exhibitors wishing to avoid assignment of space adjacent to that of a particular competitor should indicate this on their application form. Careful consideration will be given to all requests; however, we cannot guarantee acceptance of these requests. ANMS reserves the right to relocate or reassign space at any time for the overall benefit of the meeting. If a preferred space is not available, ANMS will contact the company to discuss alternative space availabilities.

Electrical Connections and Internet
Arrangements for electricity or Internet access must be made directly with the Westin Copley Place, Boston. Details for these arrangements will be sent to the official contact person.

Exhibit Representation
A company representative must staff exhibits during the scheduled exhibit times. All company representatives must be preregistered. Registrations may not be shared.

Company and Product Profiles
All exhibitors will be listed the Final Program, which will be distributed to all attendees.

Give-aways and Distribution of Printed Materials
Give-aways are not allowed. Printed material may only be distributed in the space provided by the exhibitor. No such material may be distributed in any hotel used by the meeting.

Sound Devices and Noise Level
Noise level from any product demonstration or sound system must be kept to a minimum and must not interfere with other exhibits or educational activities.

Cancellations
Cancellation requests must be received in writing on or before July 15, 2010 and are subject to a $250 cancellation fee. Refunds will not be issued after July 15, 2010. E-mail, fax, or mail to the American Neurogastroenterology and Motility Society.

Liability
Each exhibitor agrees to protect, save, and hold Westin Copley Place Boston, the American Neurogastroenterology and Motility Society (Clinical Practice Course), and all agents and employees thereof (hereinafter collectively called “Indemnities”) forever harmless for any damages or charges imposed for violations of any law or ordinance, whether occasioned by the negligence of the Exhibitor or those holding under the Exhibitor. Further, the Exhibitor shall at all times protect, indemnify, save, and hold harmless the Indemnities against and from any and all losses, costs, damages, liability, or expenses (including attorney’s fees) arising from or by reason of any accident or bodily injury or other occurrence to any person or persons, including the Exhibitor, its agents, employees, and business invites, which arise from or out of the exhibition premises, the hotel, or any part thereof.

Shipping
Exhibitors must make individual arrangements for shipping and handling. Details for shipping will be sent to the official contact person.
